Soundworks – Terms & Conditions

These Terms & Conditions apply to bookings made with Soundworks, the trading name of Craig Rogerson.
They cover Group Sound Meditations, individual sound therapy sessions, duo and private sessions, corporate and bespoke bookings, handpan lessons, lesson packages, gift cards and Special Events, unless different terms are clearly stated when you make a booking.
By making a booking with Soundworks, you agree to these Terms & Conditions.
Nothing in these Terms & Conditions affects any rights you have under UK consumer law that cannot legally be excluded or restricted.
1. Bookings and payment
Your booking is confirmed once payment has been received, unless otherwise stated in these Terms & Conditions or in your booking correspondence.
Please make sure the contact details you provide when booking are correct, as booking confirmations and important updates will be sent using these details.
Corporate and bespoke bookings are subject to the payment terms in Section 6.
2. Group Sound Meditations
Group Sound Meditations are public group sessions held at a variety of venues and locations.
Bookings are for a specific session, date and venue.
Cancelling or changing your booking
If you are unable to attend, Soundworks does not normally offer a cash refund. However, where possible, I will offer to move your booking to the next available Group Sound Meditation in the same city or venue, whichever is soonest.
If the alternative session does not suit you, you may choose not to transfer your booking, but a new booking will be required for a future session.
Transferring your booking
You may transfer your place to another person. You are responsible for ensuring that the person taking your place is aware of and agrees to these Terms & Conditions and any requirements relating to the session.
Please notify Soundworks of the change before the session where possible.
No-shows
If you do not attend your booked session and have not contacted Soundworks in advance, the booking will expire. A new booking will be required for a future session.
Late arrival
To protect the experience of everyone attending, latecomers cannot be admitted once the session has started.
Please arrive at least 10 minutes before the advertised start time so that you have time to settle in before the session begins.
If you arrive after the session has started and are unable to enter, the booking will expire and a new booking will be required for a future session.
3. Special Events
Special Events have their own arrangements and may involve specific venues, collaborators, equipment or other costs.
Unless otherwise stated on the individual event booking page, Special Event bookings cannot be refunded, rescheduled or transferred.
This includes:
- Yoga / movement & Sound
- All-night gong pujas
- Workshops
- Handpan gigs
- Other events listed in the Special Events section of the Soundworks booking page.
Late arrival

If you arrive after the event has started and are unable to enter, the booking will expire.
Nothing in this section affects any statutory rights you may have under UK consumer law.
4. Individual and private sound sessions
This section applies to:
- Individual Sound Therapy Sessions
- Duo Sound Sessions
- Private Group Sound Sessions for up to five people.
These sessions are booked for a specific date and time.
Cancelling your booking
- 7 days or more before your session: full refund
- Less than 7 days but more than 48 hours before your session: 80% refund
- Less than 48 hours before your session: no refund will normally be available
You may also reschedule your booking using the options provided in your booking confirmation, subject to availability.
Please make rescheduling requests as early as possible. Where repeated changes are made to the same booking, or where a session has already been rescheduled, Soundworks may treat a subsequent request as a cancellation rather than continuing to move the appointment.
Any decision to make an exception to these terms will be at Soundworks’ discretion and will depend on the circumstances.
5. Handpan lessons
Handpan lessons are available in person and online.
Unless otherwise stated:
- In-person lessons are 90 minutes
- Online lessons are 60 minutes
Online lessons
For an online lesson, you will need:
- your own handpan
- a stable internet connection
- a quiet space where you can play without interruption.
Soundworks cannot be responsible for technical problems caused by your internet connection, equipment or environment.
Lesson packages
Lesson packages are purchased for the named student and cannot be transferred to another person.
Package: 5 lessons – Validity: 7 months from purchase
Package: 10 lessons – Validity: 12 months from purchase
Lessons must be booked and completed within the applicable validity period.
Any unused lessons remaining after the expiry date will expire and will not be refundable.
Where exceptional circumstances prevent a student from completing their package within the validity period, Soundworks may consider an extension on a case-by-case basis.
Rescheduling a lesson
If you need to reschedule a lesson, please provide at least 48 hours’ notice.
Where less than 48 hours’ notice is given, the lesson may be counted as used unless there are exceptional circumstances.
If Soundworks needs to cancel or reschedule a lesson, the lesson will not be counted as used and an alternative date will be arranged.
6. Corporate, private and bespoke bookings
Corporate, private and bespoke bookings are arranged individually and may include workplace sessions, retreats, events and other bespoke services.
A quotation or proposal will normally be provided before the booking is confirmed.
Confirmation and payment
Bookings are confirmed once Soundworks has received either:
- full payment
- an approved purchase order (PO).
Where a booking is made more than 30 days before the event, payment is requested at least 30 days before the event.
Where a booking is made less than 30 days before the event, payment is due before the event.
If advance payment is not possible, an approved PO must be provided before the event. The resulting invoice will normally be payable within 30 days of the invoice date.
Without full payment or an approved PO, the booking is not confirmed.
Corporate cancellations
If a corporate or bespoke booking is cancelled by the client:
- More than 30 days before the event: full refund
- 15–30 days before the event: 50% of the agreed booking fee is payable
- 14 days or less before the event: the full agreed booking fee is payable
These charges reflect the time and capacity reserved for the booking.
Where Soundworks has already incurred agreed, non-recoverable third-party costs on behalf of the client — such as venue hire, specialist equipment, accommodation or travel — these may also remain payable where they cannot reasonably be recovered.
Changes to a corporate or bespoke booking
Changes to the agreed event, including changes to location, duration, participant numbers, timings, equipment requirements or other material aspects of the booking, may result in an amended fee.
Any amended fee will be quoted and agreed with the client before the change is confirmed.
Travel and additional costs
Travel arrangements and any additional costs will be confirmed in the quotation or booking correspondence where applicable.
Additional costs may include parking, venue hire, equipment or amplification, accommodation, specialist transport or other agreed costs.
7. Gift cards
Soundworks gift cards are valid for 365 days from the date of purchase, unless otherwise stated.
Gift cards must be redeemed before their expiry date and cannot normally be exchanged for cash or refunded once issued.
8. Health, safety and participation
Soundworks offers complementary sound-based experiences.
With the exception of an Individual Sound Therapy Session, Soundworks services are not intended or presented as medical treatment or therapy.
Individual Sound Therapy Sessions
Individual Sound Therapy Sessions are complementary wellbeing sessions and are not a substitute for medical diagnosis, treatment or advice from a qualified healthcare professional.
Group and private sessions
Group Sound Meditations, Duo Sound Sessions and Private Group Sound Sessions are not therapeutic treatments. They are wellbeing and sound meditation experiences.
Before participating
You are responsible for considering whether a Soundworks session is appropriate for you.
Soundworks does not require you to provide medical records or a medical history as part of the booking process. However, please consider the following before attending.
- Alcohol and recreational drugs: Please do not attend if you have consumed alcohol or recreational drugs within the preceding 24 hours, or if you are under the influence of any substance at the time of the session.
- Pacemakers and implanted devices: Soundworks does not recommend participation if you have a pacemaker or certain implanted medical devices.
- Pregnancy: If you are pregnant, please contact Soundworks before booking or attending. You may wish to consult your GP or another appropriate healthcare professional before participating.
- Sensitivities and allergies: Scented candles, incense and/or room scents may be used during some sessions. Please consider whether these or other aspects of the environment may affect you before attending.
If you are unsure whether a session is appropriate for you, please seek advice from your GP or another qualified healthcare professional before booking.
By choosing to participate, you confirm that you have considered the information above and are responsible for deciding whether the session is appropriate for you.
9. Age requirements
Soundworks sessions are available to people aged 18 and over.
People aged 16–17 may attend when accompanied by a parent or legal guardian.
The parent or legal guardian must attend the session themselves and purchase their own place. Attendance as a parent or guardian does not provide a free accompanying or carer place.
10. Venues and participant responsibilities
Soundworks regularly operates from third-party venues, so facilities and venue rules may vary.
You are responsible for following reasonable instructions from Soundworks and the venue, including requirements relating to access, personal belongings, fire safety and other venue procedures.
Please arrive in sufficient time to settle into the space before the session begins.
Soundworks cannot be responsible for facilities, services or conditions that are outside its reasonable control and are provided directly by a third-party venue.
11. Changes or cancellation by Soundworks
I will always make reasonable efforts to deliver a session or lesson as booked.
If Soundworks needs to cancel
If I am unable to provide a session or lesson due to illness or another circumstance outside my reasonable control, I will make reasonable efforts to:
- offer an alternative date
- offer an alternative suitable Soundworks session
- where appropriate, arrange for a suitably qualified practitioner to provide the session.
If an alternative arrangement cannot reasonably be made, you will receive a full refund for the affected booking.
If a venue becomes unavailable
If a third-party venue becomes unavailable, I will make reasonable efforts to offer an alternative venue or date.
If the alternative arrangement is not suitable for you, you may choose to receive a full refund.
12. Privacy and recording during sessions
Soundworks considers its sessions to be private and reflective spaces.
Participants should not photograph, film or audio-record the session or other participants without express permission.
Soundworks does not routinely photograph or record participants during sessions.
Where photography or filming is planned for a particular event, participants will be informed in advance and given the opportunity to opt out.
Please also respect the privacy of other participants by not sharing photographs, recordings or personal experiences involving them on social media without their permission.
13. Soundworks’ responsibility and your statutory rights
Soundworks will provide its services with reasonable care and skill.
Nothing in these Terms & Conditions excludes or limits any liability or consumer rights that cannot legally be excluded or limited under UK law.
Your statutory rights relating to services continue to apply. For example, consumer services must be provided with reasonable care and skill.
Soundworks will not be responsible for circumstances outside its reasonable control, including circumstances affecting third-party venues, provided reasonable steps are taken to communicate with you and offer an appropriate alternative where possible.

15. Governing law
These Terms & Conditions are governed by the laws of England and Wales.
Any disputes will be subject to the jurisdiction of the courts of England and Wales, except where applicable consumer law gives you the right to bring proceedings elsewhere.
